Festival Policies
We have redone the web pages for the 2012 festival. Please read all of these carefully. We will no longer take online applications. Please print the pdf file, fill out and mail it, along with your signed agreement and payment. We will get back in touch with you when your payment is received. If your allplicatio is not accepted, we will return the check.
- Applications, signed agreements and payments must be submitted by mail.
- No refunds will be made under any circumstances once your application is accepted.
- The hummingbird festival operating hours will be March 16th from 6 pm to 9 pm and March 17th from 9 am to 9 pm
- Spaces will be 12 x 12 for craft vendors and 12 x 20 for food vendors. If you need more space, please note this on your entry form.
- No alcoholic beverage allowed to be sold or brought on premises.
- To ensure variety and eliminate repetition, The Hummingbird Festival organizers reserve the right to limit the number of vendors allowed that provide similar products or services.
- Vendors must be ready for operation no later than one hour prior to festival starting times and continue in operation during all festival operating hours. There will be no vehicles inside the festival area during festival hours.
- Restocking of supplies during festival hours will be only by handtruck or other similar method. Motorized vehicles are not allowed.
- The Hummingbird Festival provides spaces. All set-up is the responsibility of vendors, including tents, tables, chairs, lighting, etc.
- The Hummingbird Festival may, at its election, terminate the policies, procedures and requirements agreement between The Hummingbird Festival and the vendors at any time upon breach of these policies and the accompanying contract. The Hummingbird Festival may choose to retain any booth fees paid by this vendor.
- The participating vendor shall comply with all laws, ordinances, rules, and regulations of any lawful authority, agency, or governmental unit which apply to the use of its vending unit. The vendor agrees to indemnify and hold harmless The Hummingbird Festival , the town of Woodford, its officers, directors, employees, and agents for any penalties, fines, costs, expenses, or damages from participatingvendor's failure to comply with such law.
- Water is provided. However it is up to the vendor to bring his own equipment to receive it.
- Vendor spots must be kept clean, cleaned each night and before leaving the site of the festival.
- The agreement form must be completed, signed and mailed with your payment.
- Requests will be honored on first-come, first-serve basis.
- Vendors must be prepared to light their booths after dark. The festival will continue until 9 pm.
- The Hummingbird Festival is not responsible for damage done by inclement weather.
- No items will be allowed for sale with The Hummingbird Festival logo without prior written consent of the Town of Woodford.
- Vendors must meet all DHEC regulations.
- Vendors must supply their own UL listed heavy-duty extension cords. A minimum of 200 ft. is recommended.
- No silly string, smoke or stink bombs will be allowed. We also reserve the right to ban the sale of other novelties that we feel are inappropriate.
- Price of spaces include town business license.
- Prices for food vendors will be 50.00 and crafts will be 25.00.
- Festival setup timeframe is Friday from 8 am to 5 pm. Festival start time for Friday will be 6 pm. All vendors need to be operational by 6 pm on Friday.
- We have no local campgrounds. Motels are available in West Columbia, Cayce, or Orangeburg. Camping is available at River Bottom Farms at 357 Cedar Creek Rd., Swansea,S.C.(803-568-4182).
- The Hummingbird Festival and the town of Woodford will not be responsible for losses of any kind, whether by fire, theft, physical violence, elements of nature or any other cause, however originating.
